Who we share it with

We do not sell personal information. We use these service providers (processors), under contracts that require them to protect it:

  • Microsoft (Microsoft 365, Entra ID, Bookings, Outlook): Email, files, sign-in and call bookings
  • Vercel Inc.: Website hosting and delivery
  • Stripe Payments Europe Ltd: Card payments and payment links
  • Supabase: Database and sign-in for customer workspaces, hosted in the EU (AWS eu-west-1, Ireland)
  • Vapi: AI call handling for ARIA on the main line; the 0330 number is carried by Yay.com (SIP)
  • monday.com: Enquiry and work tracking for human follow-up
  • Google (Google Analytics): Website analytics, only if you accept analytics cookies

We may also share information where the law requires it, for example with a regulator, the police or a local authority safeguarding team when there is a risk of harm. Some providers may process data outside the UK; where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement/Addendum.

How long we keep it

Enquiries that do not become work: up to 2 years from last contact. Customer and service records: for the life of the contract plus 6 years. Accounting records: 6 years from the end of the financial year. Call recordings and transcripts: 90 days, unless needed for a complaint or safeguarding matter. We delete or anonymise information at the end of these periods.

Your rights

You have the right to be informed, to access your information, to have it corrected, to have it erased, to restrict or object to its use, to data portability, and not to be subject to solely automated decisions with legal or similarly significant effects. ORVIA does not make such decisions: a person reviews every safeguarding, clinical, legal, regulatory or culpability decision. Where we rely on consent you can withdraw it at any time. We reply within one month.

Complaints

Please contact us first so we can put things right. You can complain to the Information Commissioner's Office at any time: ico.org.uk/make-a-complaint, or call 0303 123 1113.

ORVIA Web enquiries

When you send the ORVIA Web enquiry form we collect your name, business, email, phone, what you need help with and your message, plus the page you came from and any campaign tags, to respond to the enquiry. We do not add enquiry details to marketing lists.

Customer project workspace

After checkout, the details you confirm and the brief, files and change requests you send in your project workspace are used to deliver the website you bought. Never send platform passwords through the workspace; we give you a safe connection route.
